This Privacy Policy explains how personal information is collected, used, stored and shared when you use Run of Shows.

Run of Shows is owned and operated by One Creative FZ LLC, a company registered in Fujairah Creative City Free Zone, United Arab Emirates, with a business address at Marina Plaza, Dubai Marina, Dubai, United Arab Emirates.

This Privacy Policy applies to:

• the Run of Shows marketing website at RunOfShows.com;
• the Run of Shows web application at RunOfShows.app; and
• any related Run of Shows services, features, communications or functionality.

For the purposes of this Privacy Policy, references to "Run of Shows," "we," "us," "our," or "the Company" refer to the legal operator of the Run of Shows service, as applicable.

We aim to process personal data in accordance with applicable data-protection and privacy laws.

2. Information we collect

Depending on how you use Run of Shows, we may collect the following categories of information.

Account information

• organisation or company name;
• account role;
• account and subscription status; and
• authentication and verification information.

Team invitation information

If an account owner or authorised user invites another person to Run of Shows, we may receive and store information such as the invitee's:

• email address;
• invited role; and
• associated event or account.

This information may be stored before the invited person creates an account.

Event and rundown information

We process information users enter into the platform, which may include:

• event names;
• event dates and times;
• rundowns;
• cues;
• scripts;
• production notes;
• team information;
• speaker or performer information;
• event-related contact details; and
• other information entered into the Run of Show.

The user or organisation entering this information is responsible for ensuring that it has an appropriate basis to provide the information to Run of Shows.

Uploaded images

Users may upload:

• photos and images; and
• company or event logos.

Run of Shows does not currently support general document, PDF, video or audio uploads unless additional functionality is introduced later.

Billing information

Payments are processed securely by third-party payment providers.

Run of Shows does not directly store full payment card numbers or complete payment-card details.

We may receive limited transaction information necessary to administer an account, such as:

• payment status;
• transaction identifiers;
• subscription status;
• billing currency;
• amount paid;
• payment date; and
• limited payment-method information supplied by the payment provider.

Technical and usage information

When you use RunOfShows.com, RunOfShows.app or related services, we or our technology providers may process technical information necessary for security, operation, analytics and troubleshooting, including information such as:

• browser type;
• device type;
• operating system;
• login activity;
• application activity;
• approximate location derived from network information;
• error and diagnostic information; and
• standard network or request information.

The exact information processed may depend on the infrastructure, analytics and security services being used.

3. Guest Passes

Run of Shows allows authorised users to create Guest Pass links that provide read-only access to a rundown.

A Guest Pass viewer is not required to create a Run of Shows account or intentionally provide their name or email address simply to view the link.

Anyone who obtains an active Guest Pass link may be able to view the associated rundown.

Users who create Guest Pass links are responsible for controlling who receives those links.

Standard technical information may still be processed by hosting, security or analytics infrastructure when a webpage is accessed.

Guest Pass links may be revoked or disabled by an authorised user.

4. How we use personal information

We may process personal information to:

• create and manage accounts;
• verify email addresses;
• authenticate users;
• provide the Run of Shows service;
• create, store and synchronise rundowns;
• enable team collaboration;
• process team invitations;
• provide Guest Pass functionality;
• process subscriptions and purchases;
• administer Event Credits;
• provide customer support;
• send service and account communications;
• protect the platform against fraud, misuse and security threats;
• diagnose technical problems;
• maintain and improve the service;
• understand how RunOfShows.com and RunOfShows.app are used;
• comply with legal and regulatory obligations;
• establish, exercise or defend legal rights; and
• send marketing communications where permitted by law.

We process personal data only where there is an appropriate basis under applicable law, which may include performance of a contract, consent, compliance with legal obligations, legitimate interests or another legally permitted basis.

Run of Shows may use cookies, pixels and similar technologies on RunOfShows.com, RunOfShows.app and related services for:

You may unsubscribe from marketing emails using the unsubscribe option included in those messages.

Unsubscribing from marketing does not prevent us from sending essential transactional or service communications, such as:

• team invitations;
• billing notifications;
• subscription notices; or
• important service-related communications.

7. How we share information

We do not sell personal data.

We may share or make information available to third-party service providers where reasonably necessary to operate, secure, maintain or improve Run of Shows.

• hosting and cloud infrastructure;

Our service providers may change as the platform and its technology evolve.

8. Artificial intelligence

Run of Shows does not currently send customer rundowns, cues, scripts, uploaded images or other show content to an artificial-intelligence provider for AI processing as part of the customer-facing Run of Shows service.

If we introduce an AI feature that materially changes how customer content or personal information is processed, we will update this Privacy Policy and provide any notice or consent required by applicable law.

9. Where information is stored and processed

Run of Shows uses international technology infrastructure and third-party service providers.

Information processed through RunOfShows.com, RunOfShows.app or related services may be transferred to, stored in or processed outside the United Arab Emirates.

We do not promise that customer data will remain exclusively within the UAE or GCC.

Different service providers may process information in different locations depending on their infrastructure and service configuration.

Where applicable data-protection law imposes requirements on international transfers of personal information, we take reasonable steps to use appropriate contractual, organisational or other lawful safeguards.

10. Data security

We use reasonable and appropriate technical and organisational measures designed to protect personal information against:

• unauthorised access;
• unlawful processing;
• accidental loss;
• misuse;
• alteration; and
• unauthorised disclosure.

However, no internet-based service, cloud platform or electronic storage system can guarantee absolute security.

Users are responsible for maintaining secure passwords, protecting their devices, controlling team access and controlling distribution of Guest Pass links.

11. Data retention

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, to operate the service and to meet applicable legal, accounting, security and regulatory requirements.

Active accounts

Account and Run of Show data may be retained while the relevant account remains active.

Account deletion

When an account is deleted, active Run of Show and account data associated with that deletion is intended to be removed from the active service immediately.

Residual copies may remain within backups for up to 7 days before being overwritten or deleted through the normal backup cycle.

Certain limited information may be retained for longer where reasonably necessary to:

• comply with law;
• maintain financial or tax records;
• prevent fraud or abuse;
• resolve disputes; or
• establish, exercise or defend legal claims.

Team invitations

Information relating to pending or unaccepted invitations may be retained for as long as reasonably necessary to administer invitations, access control, account security and related service functions.

12. Your privacy rights

Depending on applicable law and the circumstances of the request, you may have rights relating to your personal information, including the right to request:

• information about how your personal data is processed;
• access to personal data we hold about you;
• correction of inaccurate personal data;
• deletion of personal data where legally applicable;
• restriction or cessation of certain processing where legally applicable;
• transfer or portability of personal data where applicable and technically feasible; and
• withdrawal of consent where processing is based on consent.

You may also object to certain uses of your information where applicable law provides that right.

13. Account deletion

Where account-deletion functionality is available within Run of Shows, users may request or initiate deletion through the available account controls.

Deletion of an account may permanently remove access to associated rundowns, events and other User Content.

Users should export any information they need before deleting an account.

Account deletion does not automatically require deletion of records that we are legally required or legitimately entitled to retain.

14. Information about other people

Run of Shows is designed for collaborative productions and may contain information relating to people who are not themselves account holders, such as:

• team members;
• crew;
• speakers;
• performers;
• clients;
• suppliers; or
• other event participants.

If you enter another person's personal information into Run of Shows, you are responsible for ensuring that you are authorised or otherwise legally permitted to do so.

You should avoid entering personal information that is unnecessary for operating the relevant production.

15. Sensitive information

Run of Shows is not intended for the storage of highly sensitive information such as passwords, complete payment card information, government identification documents, medical records, banking credentials or other information unnecessary for event production.

Users should avoid adding such information to rundowns, cues, notes, images or shared links.

16. Children and users without full legal capacity

Run of Shows is not designed specifically as a children's service.

We do not impose a general platform age limit, but users must have the legal capacity required under applicable law to create an account and enter into contractual arrangements.

Where a user does not have full legal capacity, use of the service should be authorised by a parent, guardian or other legally authorised person.

17. Legal disclosures

We may disclose information where reasonably necessary to:

• comply with applicable law;
• respond to lawful requests from courts, regulators or government authorities;
• investigate fraud, abuse or security incidents;
• protect Run of Shows, its users or other persons;
• enforce our Terms of Service; or
• establish, exercise or defend legal rights.

18. Business transfers

If Run of Shows is involved in a merger, acquisition, restructuring, financing, sale of assets or transfer of the Run of Shows business, information associated with the service may form part of that transaction, subject to applicable law and appropriate confidentiality protections.
